## In short

Corporate event photography in Tokyo costs $800 for 30 minutes and 15 edited photos, with 5 selects delivered the same evening for social posts and press, and the full gallery within 5 days. The base covers one key moment — a keynote, an award, the toast or the group photo; a full programme is covered with extra hours at $150 each. We agree the shot list and venue rules in advance and invoice your company in US dollars; use on your own channels is included.

Most corporate events in Tokyo happen in hotel ballrooms and conference halls with their own house rules: where a photographer may stand, whether flash is allowed during speeches, when equipment can come in through the service entrance. The work is half photography and half liaison with the venue, often in Japanese and in advance. We handle that part, so the organiser receives a shot list, a timetable and a gallery rather than a set of questions.

## How the shoot is planned

For the base 30 minutes we arrive ahead of the moment you book — say the keynote — and work the agreed positions: the speaker from the side aisle, the audience reacting, a wide shot from the back, then the group photo, ideally staged on the stairs or in front of the backdrop. Before leaving, we edit and send the 5 selects from the venue. With extra hours the day can start thirty minutes before doors with the empty, dressed room, the stage, the branding and the registration desk; breaks become networking candids, and the reception — toasts, handshakes, the executives you name — is covered to the end.

## Timing

The base 30 minutes suits one moment; a conference’s core programme or a full evening reception needs extra hours at $150 each, and for an all-day event we keep adding hours rather than book two photographers. Send the venue name and run sheet at least two weeks ahead: hotel ballrooms usually want a vendor list and load-in time, and some ask for a week’s notice of anyone working in the room. Peak seasons for event venues in Tokyo are October–November and the year-end party season in December, so book early for those months.

## Frequently asked questions

### How do you invoice, and in which currency?

In US dollars, to the company that books, with the event name, date and venue on the invoice. Payment is by bank transfer. If your Japanese entity needs a qualified invoice under Japan’s invoice system, tell us at booking and we confirm what our paperwork can show before you raise the purchase order.

### What usage rights come with the photos?

Internal communications, press releases, the company’s website and its own social channels are included. Paid advertising, use by sponsors or resale is licensed separately. Speakers and guests in the photos are your relationship, so let us know if anyone has asked not to be photographed.

### Can you also film the event or fly a drone?

Video is a separate crew; ask and we quote it alongside. A drone is not possible over central Tokyo, a densely inhabited district. For an offsite at a private venue on the city’s edge, an aerial group shot can be planned with the owner’s consent and an MLIT application about ten business days ahead.

### Can you work in a ballroom where flash is not allowed?

Yes. Many venues forbid flash during speeches and performances, and we shoot those parts on fast lenses in available light. Flash is used only at receptions and group photos, and only where the venue allows it.
