Corporate event photography

Photography for a conference, offsite or reception in Tokyo, Osaka or Kyoto: a speaker, the room and the people in it, with selects the same evening and full-event coverage in extra hours. Japanese venues often set rules on where a photographer may stand, so we get them from the venue beforehand.

The base 30 minutes covers one key moment: a keynote, a product reveal or the kanpai that opens a reception. Arrivals and registration, panels, the room from above, branding and sponsors, and the networking afterwards are covered with extra hours at $150 each, so a full conference day is the base session plus the hours it needs. Five selected images are edited and sent the same evening, so a press release or a LinkedIn post can go out while the event is still news; the full set of 15 edited photos follows within 5 days.

Japanese venues run to a tight clock. Hotel ballrooms in Tokyo and convention halls such as Tokyo Big Sight or Makuhari Messe usually allow setup only from a fixed time and expect the room cleared on the minute, and many hotels register outside vendors in advance. Send the run-of-show and the venue contact a week before, and we handle the vendor registration with them.

Expect a meishi exchange, a formal kanpai toast and speeches that start exactly on time; each is a moment worth covering, and the kanpai lasts about ten seconds. Japanese attendees are often more cautious about appearing in published photos than at events elsewhere, so we recommend a consent line at registration or coloured lanyards for people who prefer not to be photographed, and we keep them out of the frame.

Delivery is a private online gallery with web and full-resolution files, licensed for the company’s own marketing and press use.

Frequently asked questions: Corporate event photography

Can you liaise with a Japanese venue?

Yes. Hotel ballrooms and conference centres in Japan usually want a crew list, load-in time and photographer positions in advance; we send them and confirm anything that needs the venue’s approval, such as stage access or flash during speeches.

Do you invoice the company?

Yes, in US dollars, to the company that books, with the event details on the invoice. Usage rights for internal communications, press and the company’s own channels are included.
